IN RUSHTRACKProject → Editorial → Editorial Team / Timeline
01Coordinate post-picture-lock corrections across the full episode: timecoded notes, working groups, conversations and review rounds with history. Coordination imports, assigns and approves. Members work within their authorized groups through RushTrack or their Editorial Deck.
02
First cut, episode and corrections
New episode creates an independent piece; Prepare new version adds another cut of the same piece.
- 01For the first cut, load the public Share Link and FIOJSON from the same file. Check text, author and TC before saving; no connected Frame.io account is required.
- 02Save unassigned notes and distribute them later from Timeline. Excluded notes are not imported; unassigned notes remain pending.
- 03New correction creates work with its own TC. Replying within a note adds conversation, not another task.
03
Reusable roles and groups
Editorial Team brings together roles, groups and members. A role may appear in several groups; sharing a role does not share their tasks.
- 01Group roles by dragging or using Group with, name the group and save its composition. Saving a contact email does not send an invitation.
- 02Assign a note to one or several groups. Adding another group preserves existing work; members can be added later.
- 03Invite the representative from Editorial Team. Their personal link permits work only within its scope; revoking access removes that permission.
04
Timeline: video, notes and assignment
The review desk prioritizes video and distinguishes the open note from notes selected for a batch.
- 01Entire cut shows all notes and owners; My tasks limits notes to your tasks or groups. Search by text or TC and filter by group and status.
- 02Coordination uses Assign notes to open the list, select notes and choose the group. The Open note number identifies the detail; checkboxes select the batch.
- 03Minimize list preserves filters and selection. The monitor fits the screen height; opening a note seeks to its TC for review within context.
05
Completed, approved and round closure
Finishing work makes the correction ready for review; coordination approves or returns it with a reason. A group delivery is not approval.
- 01Start and Finish record who acted and when. Follow the displayed sequence when internal dependencies apply.
- 02Review each note alongside the video. Approve or return the correction; unassigned or unapproved notes prevent round closure.
- 03Close the round after all notes are approved. If a prepared version exists, Close v1 and activate v2 preserves the previous cut in Reviewed versions. Final project delivery is recorded separately in Delivery.
06
Editorial and VFX: shared context, separate work
Editorial follows corrections across the full cut. VFX manages shots, ranges, thumbnails and effects versions.
- 01For a correction with VFX work, Send to VFX links it to an existing shot in the same project.
- 02The link retains text, TC and source version: it does not create shots, change their ranges or synchronize their statuses.
- 03Check the source episode and cut before replying. Conversations and approvals retain their history.
07
Independent episodes and versions
Use New episode for an independent piece. Prepare new version saves another cut of the same episode under your chosen name while the team finishes the current one.
- 01Import an independent cut. Previous episodes and their progress remain available.
- 02The previous cut retains its notes, assignees, progress and conversations.
08
Prepare and compare
Upload the Share Link and FIOJSON for the same file. Review imported notes and save the prepared version: this does not close the round or assign groups.
- 01The temporary comparison expires after two hours. Once saved, the prepared version remains available when you close the window and return another day.
- 02The current version stays open for the team.
09
Compare automatically and review only uncertainties
We identify repeated notes and highlight uncertain matches.
- 01Only the position in the video changes. Work and approvals stay in the current version.
- 02A repeated note can be kept as a new correction if it needs another pass. A note missing from the file is not automatically approved.
10
Add new work and activate
Expand Prepared versions using the arrow. Once all notes are approved, choose Close v1 and activate v2: one click preserves the previous version in Reviewed versions and opens the new one with no assignments.
- 01New notes are saved unassigned. Choose their groups on the board after activating this version.
- 02If you change the base version’s content, compare again before activating. New approvals and conversations are preserved.
11
Chat, messages and reading
Project general brings together the team across episodes; By note keeps a correction’s context; private messages are visible only to the two people. Chat’s red dot indicates unread messages. Open the conversation: messages are marked read when displayed.
- 01Send with Enter or the button. Shift + Enter adds a line. On phones, Chat fills the screen; use the arrow to return to conversations or Editorial. Messages do not start or deliver tasks.
- 02This version is closed. You can continue in Project general chat.
12
Work in batches and read progress
When assigning departments, the note selection stays active so you can add several. In Editorial Deck select notes or Select visible, then Start or Deliver. Only tasks allowed for your access are processed; failures stay selected for review.
- 01Progress distinguishes not started, in progress and finished. Role colors and avatars identify responsibility; status shows progress. Open a note to see departments. In Timeline, the cut overview lets you move between active and approved notes.
- 02Select up to 50 tasks per batch.
